User Types in Caplena: Core vs. Reporting-Only

Understand the difference between Core and Reporting-Only users in Caplena, and learn how to assign the right access based on your team's needs.

Caplena supports two types of users to suit different collaboration needs: Core Users and Reporting-Only Users. Each type is designed to provide the right level of access based on the user’s role in your workflow.



Core Users

Core users have full platform access, depending on their assigned role. Use this type for team members who are actively working on data, projects, and analysis.

Core Users can:

  • View, create, and edit projects and reports

  • Tag, filter, and analyze data

  • Use and manage integrations (e.g., Qualtrics)

  • Set up alerts, manage teams, and configure permissions

💡Tip: Assign Core roles (e.g., Analyst, Project Manager, Administrator) to anyone who needs hands-on access in Caplena.



Reporting-Only Users

Reporting-only users have view-only access to reports that have been shared with them. They're ideal for external stakeholders or internal teams who just need visibility into results.

Reporting-Only Users cannot:

  • Access or edit any projects

  • Create or modify reports

  • Interact with alerts, integrations, or reports beyond view access

 

💡 Tip: Best for clients, executives, or non-technical users who only need to monitor live reports.


 

How to Add Users


To invite new users to your Caplena workspace:

  1. Go to Account > Team

  2. Click the red "Invite" button in the top-right corner

  3. Choose between inviting a Single user or Multiple Reporting-Only users

  4. Enter the user’s email address and assign a role (for Core users)

  5. Click "Invite" or "Bulk Invite" to confirm
