Caplena supports two user types to suit different collaboration needs.

Core Users

Core users have full platform access depending on their assigned role. Use this for team members who are actively working on data, projects, and analysis. Core users can:
  • View, create, and edit projects and reports
  • Tag, filter, and analyze data
  • Use and manage integrations (e.g., Qualtrics)
  • Set up alerts, manage teams, and configure permissions
Assign Core roles (e.g., Analyst, Project Manager, Administrator) to anyone who needs hands-on access in Caplena.

Reporting-Only Users

Reporting-only users have view-only access to reports shared with them. Ideal for external stakeholders or internal teams who just need visibility into results. Reporting-only users cannot:
  • Access or edit any projects
  • Create or modify reports
  • Interact with alerts, integrations, or reports beyond view access
Best for clients, executives, or non-technical users who only need to monitor live reports.

How to add users

Go to Team

Go to Account → Team.

Click Invite

Click the Invite button in the top-right corner.

Choose invite type

Choose between Single user or Multiple Reporting-Only users.

Enter details

Enter the user’s email address and assign a role (for Core users).

Confirm

Click Invite or Bulk Invite to confirm.
