Step 1: Start a New Project

Navigate to the Projects tab and click New Project in the top-right corner.
Want to explore Caplena before importing your own data? Click Import demo project next to New Project to copy a ready-made example into your workspace. See Try Caplena with a demo project below.

Step 2: Enter Project Details

Project Name & Context Give your project a clear and descriptive name. You can also add optional context — such as the target audience or goal of your analysis — to help the AI generate more relevant insights. Main Language Select the primary language of your text data. If your dataset contains multiple languages, you can enable Automatic Translation.

Step 3: Configure Settings (Optional)

  • Anonymization – Automatically removes personal information from your text data. Learn more →
  • Automatic Translation – Enable if your dataset includes multiple languages to ensure consistent analysis. Learn more →

Step 4: Proceed to Data Import

Click Continue to move on to the data import step. You’ll be presented with three options:
  • Upload a File – Import .xls, .xlsx, .csv, .txt, .spss, or .sav files. Learn more →
  • Use an Integration – Connect to one of our pre-built integrations. Learn more →
  • Import via API – Automate data import from your internal systems. Learn more →

Try Caplena with a demo project

If you want to explore Caplena’s features before bringing in your own data, you can copy a pre-built demo project into your workspace. Demo projects contain example datasets with topics and reports already configured, and they don’t consume credits. When to use it
  • You’re new to Caplena and want to see what a finished project looks like.
  • You want to test reports, filters, or Insight Agent on realistic data.
  • You’re preparing a stakeholder demo and need example content fast.
How to add a demo project
  1. Go to the Projects page.
  2. Click Import demo project (next to New Project).
  3. Choose one of the two tabs at the top of the modal:
    • From project list – Copy a curated demo into your workspace.
    • Generate my own demo data – Have Caplena create a synthetic demo project for a use case you describe.

Option A: Copy a curated demo

Use this option when you want a finished project immediately, with no setup required.
  1. On the From project list tab, browse the available demos. Use the search box to filter by name.
  2. Choose how to import:
    • Single project – Click Add on any project to copy it into your workspace.
    • Multiple projects – Select several projects, then click Add N projects to import them all at once.
  3. Once the copy finishes, the new projects appear in your project list and behave like any other project — you can edit, share, or delete them.

Option B: Generate a synthetic demo project

Use this option when none of the curated demos match the use case you want to explore — for example, when you’d like sample data for a specific industry, survey type, or research question before connecting your own data. Caplena generates a brand-new project with synthetic open-ended responses and (by default) a fully analysed report. Generation runs in the background, and you’ll receive an email when the project is ready.
  1. On the Generate my own demo data tab, configure the project:
    • Feedback source – The type of study you want to simulate: Ad-hoc study, NPS / CSAT, Online reviews, or Employee feedback.
    • Language – The language the synthetic responses should be written in.
    • Use case prompt – A short description of the question or use case to generate data for. Pick one of the suggested prompts (such as Product test, Ad test, or AB test) to prefill the field, or write your own (up to 300 characters). For example: “What do business travellers think of the in-flight services?”.
  2. (Optional) Expand Advanced options to personalize the generated report with a Company name, First name, and Last name. Leave any field empty to use the values from your account.
  3. (Optional) Enable Data only if you want just the raw synthetic responses, without an automatic topic analysis or report. Leave it off to receive a fully analysed project.
  4. Click Generate project. The modal closes and Caplena starts generating in the background — you’ll get an email as soon as the project is ready, and it will appear in your project list like any other project.
The Import demo project button is only visible to users with permission to create projects. If you don’t see it, ask your workspace admin to grant you the project-create permission. Both copying a curated demo and generating a synthetic one are free and do not consume credits.
